Position

The Workshop Assistant is a pivotal position that supports the efficient functioning of the workshop by handling administrative tasks, providing excellent customer service, and maintaining accurate records. This role is essential in ensuring seamless coordination between various departments and promoting a safe and productive work environment.

· Create and process purchase orders for workshop supplies, spare parts, and equipment

· Monitor both internal and external jobs, ensuring they are actioned promptly, and closed in a timely manner to meet business requirements

· Manage the process of bulk end-of-month Kubota credits, coordinating with the appropriate parties and ensuring accurate records

· Process customer payments over the phone, providing excellent service and ensuring secure transaction handling

· Follow up on overdue customer statements, supporting internal collections efforts to ensure timely payments

· Enter supplier invoices into the system and allocate charges to the relevant jobs accurately

· Schedule and book job repairs for small engine units, ensuring efficient use of workshop resources

· Complete thorough handovers of equipment to mechanics, providing all relevant job information for efficient repairs

· Create new customer accounts, conduct credit checks, and obtain manager approval following company policies

· Order and manage uniforms for workshop staff, ensuring proper allocation and maintenance

· Enter job cards into the system, generate workshop reports, and compile necessary documentation

· Check invoices against statements for accuracy and convert job cards into invoices for billing

· Communicate with customers to arrange machinery collection or delivery, ensuring a positive and timely customer experience

· Assist the workshop foreman in coordinating workflow and optimizing resource allocation based on workload

· Ensure you promote, develop and extend Casali’s business interests and reputation through the provision of exceptional customer service

· Provide excellent customer service in-person, over the phone, and via email

· Coordinate appointments and attend to client enquiries

· Develop a rapport with customers in order to build strong business relationships and networks
