We are seeking a proactive and detail-oriented Grants Administrator to join our team on a part-time basis (0.6 FTE 3 days per week, or split across 5 days), with the potential to move to full-time. This is a unique opportunity to contribute to a bold vision for children’s health in WA, working alongside a dynamic and purpose-driven team.
About the role
The Grants Administrator plays a vital role in supporting the efficient and impactful operation of the Foundation's Grants Program, through strong governance, administration and communication.
Working closely with the Grants Team and cross-functional teams, this role supports key activities within the grants function and provides high-level administrative support to the Chief Impact Officer, enabling the strategic and operational delivery of the Foundation's vision.
Key Responsibilities
- Coordinate grants administration across the full grant lifecycle, from initial enquiry through to application, assessment, agreement, reporting and acquittal.
- Draft and coordinate grant-related correspondence, including agreement letters and outcome correspondence.
- Oversee the grants filing system and maintain accurate, audit-ready grant records.
- Maintain the grants management system, including data entry, periodic data quality checks and extracting data to support reporting.
- Monitor and manage the shared Grants inbox, delegating or escalating queries where necessary.
- Act as primary point of contact for grant-related enquiries (internal and external), providing guidance on application processes and timelines.
- Liaise with CAHS and PCHF Finance on invoicing queries, monitoring payment status through to completion.
- Support preparation of progress reports, acquittals and documentation for funders and internal governance bodies.
- Coordinate logistics for grant assessment and meetings, including distributing documents, drafting agendas and minutes.
- Prepare grant assessment papers and supporting materials for Committee and Board review.
- Contribute to ongoing process refinement and governance improvements.
About You

You’ll bring:
- Demonstrated experience in a fast-paced administrative role, supporting multiple stakeholders and managing competing priorities across departments.
- Familiarity with grant programs at a not-for-profit organisation.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), with strong formatting and document preparation skills.
- Experience coordinating meetings, preparing agendas and minutes, and supporting event logistics.
- Familiarity with SmartyGrants or similar grant management systems is an advantage.
- Ability to work as a member of the Foundation team and in a sensitive environment, including working with families of hospital patients.
- Strong organisational and time management skills, with a high level of attention to detail and accuracy.
- Strong interpersonal and stakeholder engagement skills, with the ability to build trusted relationships and liaise professionally with internal and external stakeholders.
- Demonstrated experience of project management principles.
- A foundational understanding of science or healthcare through study or experience, that enhances your ability to support clinical and research-focused grants.
