The business provides brokers with access to operational support, onboarding assistance, mentoring, business development resources, compliance coordination, in-house processing support, referral opportunities, CRM systems, workflow tools and practical business resources to help them manage and grow their broker businesses.


finweb is seeking a full-time Broker Group Information Management Coordinator to support the business by managing, analysing and reporting on operational information across broker onboarding, broker/member activity, referral pathways, CRM records, workflow systems, processing support, compliance-related administration and business development initiatives. The successful candidate will assist management by ensuring that operational information is accurately recorded, analysed, reported and used to support business decision-making, workflow efficiency, broker support visibility and organisational growth.



Position Responsibilities and Tasks:

  • Analyse broker group operational information, including broker onboarding, CRM activity, referral pathways, workflow progress and processing support activity, to identify trends, delays, risks and improvement opportunities.
  • Maintain accurate business information across CRM systems, MyCRM, Trello, spreadsheets, onboarding trackers, broker registers and internal workflow tools.
  • Prepare operational reports, broker activity summaries, onboarding updates, referral reports, pipeline reports and management insights to support business planning and decision-making.
  • Monitor broker onboarding, accreditation, system access, referral tracking and internal workflow processes to identify stalled matters, missing information, handover issues and operational bottlenecks.
  • Develop and maintain reporting tools, workflow templates, onboarding trackers, broker support registers, checklists, process documents and information management procedures.
  • Review internal systems and workflow records to improve data accuracy, reporting structure, CRM visibility, handover quality and operational efficiency.
  • Support management with business information analysis relating to broker/member operations, referral performance, compliance administration, processing support activity and broker group growth initiatives.
  • Conduct research into mortgage broking market trends, broker group service offerings, aggregator support models, competitor positioning, broker recruitment activity and broker support practices to support business planning and operational development.
  • Maintain structured internal business information resources, including lender information, referral partner information, training materials, compliance resources, processing documentation and onboarding materials, to ensure business information remains accurate, accessible and consistently recorded.
  • Document, track and report broker communications, internal updates and operational information to ensure matters are properly recorded, monitored and escalated where appropriate.
  • Support the implementation of improved reporting, workflow tracking and information management practices across broker onboarding, broker support, processing assistance, referral tracking and member engagement.
  • Ensure all information management, broker communication and operational support activities remain within approved business, licensing and compliance boundaries, with credit advice, legal, licensing, commercial or complex matters escalated to appropriately authorised personnel.


Qualifications and Skills:

  • A bachelor degree or higher qualification in Business, Commerce, Finance, Management, Marketing, Data Analytics, Information Systems, Communications or a related field.
  • At least three years of relevant experience in business information management, operations analysis, CRM administration, pipeline reporting, stakeholder coordination, financial services support, broker support, member support, aggregator support, workflow coordination or operational reporting.
  • Experience using CRM systems, workflow management platforms, reporting tools, spreadsheets, business records, pipeline trackers or other business information systems.
  • Demonstrated ability to interpret operational information and prepare clear management reports, workflow summaries and business insights.
  • Ability to identify process gaps, information inconsistencies and workflow inefficiencies, and recommend practical operational improvements.
  • Knowledge of the Australian mortgage broking, lending, finance, aggregator or professional services sector is highly regarded.


Salary: This is a full-time position with competitive remuneration between $95,000 - $105,000 p.a. plus superannuation for a 38-hour work week.
