Your new role


Our Hays Brisbane CBD office is seeking an enthusiastic and detail-oriented Health and Safety Administrator to join our team, reporting directly to the Health and Safety Manager. This is a full-time, 12 month role covering parental leave with an immediate start.

In this role, you will provide essential administrative support to the Health and Safety team, ensuring that medical bookings are managed efficiently and in compliance with privacy and confidentiality requirements. You will also assist Recruitment Consultants in streamlining the temporary worker onboarding process, ensuring all contractual and statutory requirements are met to safeguard their safety and wellbeing.

Key responsibilities

  • Book and coordinate medical appointments, liaising with medical providers to ensure candidates' appointments are scheduled and attended.

  • Send medical results to clients as requested.

  • Upload pre-employment medical reports into the Medicals register on SharePoint.

  • Support the Health and Safety Team in managing specific health monitoring and surveillance requirements.

  • Review, assess, and escalate medical health assessments to the Health and Safety team.

  • Reconcile invoices from medical providers.

  • Create purchase orders and forward them to the finance team for processing.

  • Update health and safety registers as required.

  • Assist with internal reporting

What you'll need to succeed

  • Ability to work under pressure and use initiative.

  • Capability to meet tight deadlines.

  • Relevant previous administration experience.

  • Intermediate to advanced knowledge of Microsoft Office, including Word, Excel, and PowerPoint.

  • Strong attention to detail.

  • Excellent organisational and time management skills.

  • Ability to prioritise conflicting tasks.

  • High level of professionalism and personal presentation.

  • Flexible and adaptable approach to work.
