Our client is seeking an experienced Executive Officer to join their team in Subiaco. This is a key senior support role reporting directly to the Chief Executive Officer, providing high-level executive, board, and administrative support while also contributing to operational leadership across scheduling, administration, and service delivery functions within a not-for-profit (NFP) organisation.
This is a full-time on-site position working Monday to Friday, 9:00am – 5:00pm. This role will suit someone who thrives in a confidential, fast-paced executive environment and is confident managing both senior stakeholders and team coordination responsibilities.
What you’ll be doing:
- Providing high-level executive and administrative support to the Chief Executive Officer and Board, including diary management, correspondence, reports, presentations, and meeting coordination
- Acting as a key point of contact for internal and external stakeholders, handling sensitive and confidential matters with discretion
- Coordinating Board, committee, and executive meetings including agendas, papers, minutes, and logistics
- Overseeing and supporting operational teams including Administration, Reception, and Scheduling functions
- Supporting workforce planning, scheduling coordination, and continuous improvement of service delivery processes
- Assisting with financial administration including credit card reconciliation and reporting
- Supporting strategic planning activities, projects, and organisational initiatives as directed by the CEO
- Maintaining strong stakeholder relationships across internal teams, government, and external partners
What you’ll need:
- Strong experience providing executive support to senior leaders, including Board and governance support
- Strong leadership and coordination skills across teams, projects and operational functions
- Excellent communication, organisation and stakeholder management skills
- Understanding of governance, risk, compliance and workplace health and safety requirements
- Proven ability to prepare high-quality reports, correspondence, presentations, and meeting documentation
- Demonstrated experience coordinating meetings including Board and Annual General Meetings
- Advanced Microsoft 365 skills and strong overall computer literacy
- Ability to work independently, take initiative, and deliver under pressure
- Commitment to organisational values and a collaborative, team-focused approach
- Working rights in Australia, current WA Driver’s Licence, and required vaccinations/certifications
