Summary:

We are seeking a highly organised, professional and personable Receptionist to join our customer service team. This role is pivotal to delivering an exceptional member experience and ensuring the smooth day to day operation of the business.

As the first point of contact for members, guests, and enquiries, you will represent the TotalFusion brand with warmth and professionalism. You will manage all front desk operations, provide administrative support across departments, and play an active role in member communication, engagement, and account management.

Key Responsibilities:

  • Greet and welcome Members and guests on arrival promptly and professionally
  • Act as the primary point of contact for all in-person, phone, and digital enquiries
  • Manage and maintain the reception area to ensure it is welcoming, organised and well-presented at all times
  • Answer, screen and forward incoming phone calls and emails
  • Manage overdue accounts and liaise with members regarding outstanding balances in a professional and respectful manner
  • Conduct service and follow-up calls to members to support re-engagement and retention initiatives
  • Support internal teams with administrative and operational tasks as required
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor member scan ins, issue visitor badges/contract scan ins)
  • Assist with the bookings, arrivals and payments of Members and Guests for our Wellness and Recovery

Skills & Experience:

  • Previous experience in a Receptionist, Front Desk, or Customer Service role (health, fitness, or hospitality environments highly regarded)
  • Strong proficiency in Google Workspace (Google Drive, Docs, Sheets, Calendar, etc.)
  • Exceptional verbal and written communication skills
  • High level of professionalism, presentation, and attention to detail
  • Ability to effectively multitask, prioritise workload, and confidently handle challenging conversations with professionalism
  • Professional attitude and appearance
