Our client, a highly regarded and growing public practice accounting firm in Geelong, is seeking a Client Onboarding Officer to join their collaborative team.
This is a unique opportunity to become a key part of the firm's compliance andclient onboarding function, working closely with Directors and senior stakeholders to ensure a seamless and compliant client experience.
About the Role: As the Client Onboarding Officer, you will take ownership of the end-to-end client onboarding process, ensuring all regulatory and compliance requirements are met before services commence. This position will see you working closely with Directors, Accountants, Executive Assistants and the Compliance team to conduct due diligence, manage risk assessments, perform compliance checks and maintain accurate onboarding records. Key Responsibilities Client Onboarding & Due Diligence:
- Manage the onboarding process for new clients from commencement through to completion.
- Conduct Customer Due Diligence (CDD) and identity verification procedures.
- Verify client representatives, beneficial owners and authority to act.
- Utilise electronic verification platforms including BGL Team Verify.
- Ensure all onboarding requirements are completed before services begin.
- Assess and assign AML risk ratings.
- Conduct sanctions screening, PEP checks and compliance reviews.
- Identify high-risk onboarding matters and escalate where appropriate.
- Support the firm's compliance obligations under AML/CTF legislation.
- Liaise confidently with clients to obtain required documentation and information.
- Build strong relationships with Directors, Accountants and administrative staff.
- Provide guidance regarding onboarding and compliance requirements.
- Deliver a professional and seamless onboarding experience for clients.
- Maintain accurate and auditable onboarding records.
- Ensure compliance with regulatory record retention requirements.
- Monitor and manage onboarding documentation and workflows.
- Assist in the development and enhancement of onboarding procedures and controls.
- Identify opportunities to improve efficiency and the overall client experience.
Essential Requirements:
- Previous public practice accounting experience is essential.
- Experience in a Client Services, Executive Assistant, Practice Administration, Compliance, Office Management or similar role within an accounting firm.
- Strong client relationship and stakeholder management skills.
- Excellent written and verbal communication abilities.
- Exceptional attention to detail and organisational skills.
- Ability to manage multiple priorities and deadlines.
- Professional, discreet and highly organised approach.
- Exposure to AML/CTF compliance requirements.
- Experience working with ASIC, ATO and other regulatory bodies.
- Knowledge of accounting and practice management software including XPM, FYI, CAS 360, ASIC Edge, ATO portals and related systems.
- Previous experience conducting client onboarding, due diligence or compliance processes.
